Information and technology have taken over the world in the past few years and continues to penetrate to various parts of the world. The speed with which people at the individual level and various institutions adapting to the technological changes is quite alarming. Institutions are the most exposed to technology backed up by the fact that for them to improve in their performance and efficiency in running their activities, they must embrace and incorporate it into their system.
The above is triggered by the information flow that is being experienced in the current times. The flow demands that sound systems are put in place within an institution to enhance the effectiveness and efficiency for the good of the organization. Various technologies have been adopted by institutions concerning their activities.
My college is one of them, has been reluctant to adapt to modern technologies, and instead uses the older systems in carrying out activities. Due to the difficulties in elements like speed, presentability, compatibility, and efficiency, the board has taken it to the task to replace the old systems with a new computer and internet system that will see improved communication and execution of specific tasks become simple.
Description of the Problem
The need for the computer and internet system in the college arose due to various reasons. To begin with, there were hiccups in communication between departments where the old telephone system could breakdown anytime. Secondly, there was the problem of communication between the college and other colleges and its constituents in different places across the country.
There was also increased labor and production costs that were associated with a high number of employees and crude machines in the college for carrying out some tasks. My college has also not been able to develop a presentable storage system of its confidential information and documents courtesy of the poor record-keeping on behalf of the workers.
Lastly, there was a lot of paperwork, reduced speed, and low production in the university when compared to other institutions of the same kind. Due to the above instance in comparison to what has been witnessed in the institutions of a similar nature after the adoption of a computer and internet system, the necessity for the systems has grown warranting the management to acquire the same.
Plan for Solving the Problem
Because of the critical nature of the information and technology situation the college is in, the management must come up with an appropriate program that will see the college acquire the systems and install them for it to become more productive and relevant in the activities carried out. The management will begin by evaluating the type of computer and internet systems that are of quality in correspondence to the necessities of the institution. The above has to be compared with the operations of other institutions that are already in place.
Secondly, the management will evaluate the size of the institution in a bid to know the amount or rather the number of equipment and gadgets required in the institution. The number will take into account the human resources to be adopted by the institution and the cost of labor the college looks forward to minimizing. The institution should also put into consideration the need to train the employees on the usage of the systems to reduce misappropriations during operations that can turn out to be detrimental especially in data breaches (Omar, 2017)
Qualification of the People Involved
Initially, the college has been having its experts of the old system, which are assumed not to be conversant with the current information and technological systems. Therefore, the college must seek qualified personnel with the most appropriate skills and knowledge for the system. Management has to consult relevant experts on the computer and internet systems to be installed.
The experts should be knowledgeable about the various security cybersecurity measures that are to be installed in the computer system of the institution concerning the types of data and information that are to be kept in the college’s database (Tuapawa, 2017). On the part of the users within the institution, they will be taught on the usage of the entire system. Any further recruitment of employees within the institution will consider individuals with skills and knowledge in computer usage.
Conclusion: Costs and Benefits
Consideration of the proposal will accompany some costs and benefits. For instance, some of the costs to be incurred by the college include the purchase of the two systems, which will require that other complementary features such as security systems are also bought. It will also be a necessity that employees of the college are educated about the methods which can be costly to the institution. Some of the benefits associated with the adoption of the systems include expected improvement in the efficiency and effectiveness in the delivery of services (Claude et al., 2019). There will be a reduction in the cost of labor and production in general. Lastly, there will be a proper storage and enhanced communication system through the college and its constituents.
