As the head of the catalog sales department of Branford’s, I attended a meeting with the management regarding the upcoming holiday months of November and December. I was given the responsibility of passing a message to all the employees of Branford’s notifying them that there would be no vacations and personal days in November and December due to the increase in workload during that time. The message’s primary purpose was to share that information with the employees in an unbiased and professional manner. In so doing, I promoted an understanding of the main agenda of the management meeting. Also, I welcomed queries and new ideas from the employees to know their take on that plan.

In writing this letter, I considered several factors, including the employees in the store who are mostly comprised of high school graduates. This specific consideration is essential since they are not used to working during the holiday season. They are looking forward to the vacation during that time of the year to engage with friends, family, and even electronic devices like smartphones. Most of these high school graduates are female. These are young people who need vacations and personal time for several reasons, like improving their relationship with family and friends.

Before writing an informative message to the employees, reviewing some of the possible outcomes and reactions towards the said decision was also outstanding.  Most of them considering that they are recent graduates without much work experience, there was a significant possibility that they might feel ambushed. This was most likely to happen since vacation and personal life is of major importance to this specific age group. There was also a likely hood of having an emotional response similar to grief after they imagine all the enjoyment and fun they are going to miss.

Some of these are the reasons why I considered using an indirect organizational strategy. This enabled me to open up with some relevant, attention-getting information that avoids directly stating the primary purpose of the letter. Since I was delivering a wrong message, it was essential to be careful since the most likely results will be disappointment and irritation.

The main reason for the decision made was to attain the maximum profit during that holiday season. This was an important decision for the growth of the company and increased its competitive level. It was also a marketing strategy after offering services to customers during that time of the holiday season.

I considered using a memo since memorandums occasionally include an element of persuasion or a call to action. Since the message I needed to deliver was related to official business within the company, a memo was the best option. I choose to use positive language such as a humble request to show the employees that the decision was not a demand but an invitation.
